Data deletion

How to have your personal data deleted from Kylip — whether you run a workspace, or you are a lead or client of a business that uses Kylip, including data received through Facebook, Instagram, WhatsApp and Google.

1. Whose data is it?

Businesses — coaches, studios, practices, institutes and training teams — use Kylip to manage their leads and clients. If you filled in a business's form or lead ad, or messaged it on WhatsApp, your data belongs to that business, and Kylip holds it on its behalf.

The fastest way to have it removed is to ask that business directly: they can delete your record from their Kylip workspace at any time. You can also ask us, as described below, and we will make sure it happens.

2. Request deletion by email

Send an email to info@kylip.app with the subject "Data deletion request". Include:

• the email address and/or phone number you gave;

• the name of the business you shared it with, if you know it;

• where it came from, if you know — for example a Facebook or Instagram lead form, a Google ad, or a website form.

We may ask you to confirm you own the email address or phone number before we act. We acknowledge requests within 48 hours and complete them within 30 days, then email you to confirm.

3. If you came through Facebook or Instagram

If you submitted a lead form on Facebook or Instagram, Meta shared your answers with the business that ran the ad, which uses Kylip to receive them. Email us as in section 2 and we will delete what Kylip holds.

The business may also send Meta how your enquiry went (for example that it was qualified), linked by your lead ID or a scrambled (hashed) copy of your email and phone, so Meta can measure its ads. Kylip never sends your answers or notes.

Deleting data from Kylip does not delete it from Meta. To manage what Meta keeps, use your Facebook or Instagram settings. If you connected your own account to Kylip, you can remove Kylip under Settings & privacy → Settings → Business integrations (or Apps and websites) on Facebook, which stops any further access. If you connected an Instagram professional account for publishing, remove Kylip in the Instagram app under Settings → Website permissions → Apps and websites.

Businesses that connected a Facebook Page or Instagram account to publish posts can also disconnect it from Integrations in Kylip. That deletes the stored access token straight away, and Kylip can no longer post to or read from that account.

4. If you received WhatsApp messages

To stop messages, reply STOP or tell the business in the chat. To have your number and message history deleted from Kylip, email us as in section 2. Messages already delivered to your phone stay on your phone, and WhatsApp keeps its own records under its own policy.

5. What gets deleted

• Your contact details — name, email, phone and city.

• Your form and lead-ad answers, and the Meta or Google identifiers attached to them.

• Notes, pipeline stage, tags, reminders and activity history about you.

• WhatsApp and email message logs about you.

We may keep a minimal record that a deletion request was made, so we can prove we honoured it, and anything the law requires us to keep, such as invoices.

6. If you run a workspace

Admins can delete individual leads, contacts, forms and responses from the dashboard at any time, and can disconnect Meta, Google, YouTube and WhatsApp from Integrations. YouTube access can also be removed at https://myaccount.google.com/permissions.

To delete your whole workspace and your account, email info@kylip.app from the owner's email address. We can send you an export first. Your data is removed from our live systems within 30 days, and from backups within a further 30 days.

7. Backups

Deleted data is removed from our live database straight away or within the 30 days above. Encrypted backups are overwritten on a rolling cycle, so any copy in them is gone within a further 30 days. Backups are never used to restore deleted personal data.
